Using the Sold View

The Sold View in Selling Manager and Selling Manager Pro helps you manage your post sales activities including tracking sales status, emailing buyers, printing invoices and postage labels, and selling similar items.

The Sold View displays all the sales that you have closed on eBay for the current month plus the preceding three calendar months. When you make a sale, the item is moved from your Active View to your Sold View. When you complete the post-sales tasks for an item, you can move it to your Archived View.

From the Sold View you can:

Tracking post-sales activities

The status columns in your Sold View show which post-sales activities you have completed and which activities you still need to do.

For each sales record, blue icons show tasks that have been completed. Gray icons show tasks that you have either not yet updated the status for or not completed.

Each sales record displays the following tasks:

If checkout is complete or not

If you've received payment for the item

If you've posted the item

If you've left Feedback for the buyer for this transaction

If you've received Feedback for this transaction

Tracking emails

The Sold view contains an email log of any emails you send to your buyer. The number in the column tells you how many emails you've sent so far. click the number to view the email log. A small email log window opens. Each row of the log shows the date you sent the email and the name of the email template you used to write the email. Use the Add entry or Delete entry button to add or delete emails you've sent to your buyers outside of Selling Manager.

Tip: To quickly find a particular buyer quickly, you can sort your transactions by either buyer email address or buyer user ID using the respective hyperlink in the title bar of the Sold view.

Updating payment and postage status

Once you determine the payment and postage status of your listings, you can update payment and postage status for your listings through a listing's sales record, or directly from your Sold Listings View.

To determine the payment and shipping status of your sold items, you can click one of the three filter links available in the Sold Listings View:

  • Awaiting Payment

  • Awaiting Post

  • Paid & Posted

To update payment and postage status:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. From the Change Status pull-down menu, select: Payment Received, Shipped, or Payment Received & Shipped.

  3. Click the Select button to update the status of the listings you selected. The status icons are updated.

Selling Manager Pro subscribers: To have Selling Manager Pro automatically generate an email or leave Feedback when you change a sold listing's status, update your Selling Manager Pro Preferences.

Selling similar items

Both Selling Manager and Selling Manager Pro allow you to use the Sell Similar feature in the Sold Listings View to list an exact copy of one or more of your sold listings. This feature can be helpful if you notice that some of your sold listings have performed well and you would like to sell more of them without having to fill out the Sell Your Item form multiple times. You also have the option as saving a listing as a template on the Promote and Review Your Listing page of the Sell Your Item form.

Selling Manager Pro users: You can use the listing templates associated with your products to create additional listings for products that are performing well.

To create and list a copy of an individual sold listing
  1. Go to the Sold View, select the check box next to the sold listing that you want to copy.

  2. Click the Sell Similar button. The Sell Your Item form opens that has already been completed with the details of the listing that you selected.

  3. Navigate through the Sell Your Item form and review all of the details of the listing you are about to create.

  4. Review your listing and click the List Item for Sale button on the Promote and Review Your Listing page.

To create and list a copy of multiple sold listings
  1. Go to the Sold View, select the check box next to each of the sold listings that you want to copy.

  2. Click the Sell Similar button. The Sell Your Item: Promote and Review Your Listing page appears. It summarises the details of all of the items that you are about to create and the fees associated with them.

  3. Review the details and fees of the listings you will be creating and click the Submit button.

Relisting an item

You can relist items through the Sold View. (For example, if one or more of your sales results in an Unpaid Item you may want to relist the item.) The status column shows whether your item has been relisted or not. If the status icon is blue, your unsold listing has already been relisted. If the icon is gray, the item has not been relisted. The colour of the status icon will help you find out whether you will get insertion fees waived upon relisting your item.

To relist an item:
  1. Go to the Sold View, select the check box next to the listings that you want to relist.

  2. Click the Relist button. A Revise Your Item form opens. The item number will be filled in for you.

    • If you selected only one listing, you will be taken to the Sell Your Item form, which is pre-filled with all of the listing information.

    • If you selected more than one listing, you will be taken to a review page. You will not be able to change any of the listings' properties from this page. To make changes, use the Revise Your Item form for each individual listing after it becomes active.

  3. Review and confirm your listings.

Archiving sold items

You can archive your sold items when you're finished with your post-sales activities or you can wait for them to be automatically archived. After 90 days, your sold items are automatically moved to your Archived Listings View.

Selling Manager Pro subscribers: Automatic emails as well as email and Feedback alerts will not be generated for archived listings.

To archive your listings:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. Click the Archive button.

  3. Click the Confirm Archive button on the archive confirmation page.

Adding a note

You can save personal comments for any item in Selling Manager or Selling Manager Pro.

To add a note:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. Click the Add Note button.

  3. Enter the text.

  4. Click the Save button to save the note. The note will then appear below the item in Selling Manager or Selling Manager Pro. Your notes will be visible only to you.

Tracking international sales

You can display a note for international sales in the Sold View. An international sale is defined as the sale of an item to a buyer in a different country than where the item is located.

To add a note that identifies an international sale:
  1. Go to the Selling Manager Pro Preferences page, and scroll down to Show International Sales note in My Notes.

  2. Click the Edit button.

  3. Select the “Display International Sale note” option, and click the Submit button.
